How we handle your wound records, photos, account information, and privacy choices.

1. Scope

WoundFocus Personal is a personal wound photo journal that helps you save pictures, record details, and keep your wound history organized in one place. Create a wound record, mark its location using the visual body map, and add photos, measurements, status updates, and notes over time. Keeping wound-related photos together inside the app makes earlier images easier to find without searching through your everyday pictures.

This policy applies to the WoundFocus Personal mobile application and its related account, cloud storage, PDF export, and support features. It explains how WoundFocus handles information when you document wounds and use these features.

WoundFocus Enterprise is a separate application for healthcare organizations and has its own privacy policy. Healthcare professionals or organizations receiving information from you may also have their own privacy and record-retention obligations.

3. How we use information

We use information to provide and maintain the app, authenticate accounts, store and display wound histories, process photos and measurements, generate PDF exports, recover interrupted uploads, provide reminders and notifications, respond to support requests, maintain security, and comply with legal obligations.

We may use de-identified or aggregated operational information to improve service reliability, safety, performance, and quality. Optional use of wound images and measurements to train or develop models is described separately below.

4. Local Mode and cloud storage

Local Mode

In Local Mode, wound records and photos are stored on the device rather than uploaded to your WoundFocus account. Creating or signing in to an account does not itself constitute permission to contribute wound images for model development.

Device loss, app removal, or clearing app storage can make local records unavailable. Device or operating-system backups and any files you export are governed by your device settings and the services you choose.

Account and cloud use

When you choose to move local records to the cloud, those records and photos are uploaded to WoundFocus services for your account. Account-based wound journaling uses cloud storage. The app may also keep local caches or temporary files needed to display records or complete uploads.

Signing out is not an account-deletion request and does not convert cloud records into a Local Mode copy. Removing the app does not by itself delete information already stored in the cloud.

5. PDF exports and information you share

You can create a PDF containing your wound’s history, photos, and measurements. Save it for your own records or choose to share it with a trusted caregiver or healthcare professional.

You decide who receives the information you export or share. Exported files may contain sensitive wound information, so review their contents and the intended recipient before sharing.

Once a PDF, photo, or other information is shared outside WoundFocus Personal, the recipient’s handling of it is subject to their own practices and may be outside our control. Deleting a wound record or your account does not delete copies already saved or received by others.

Saving records or creating a PDF does not request a medical review or mean that a healthcare professional is monitoring your wound.

6. Optional “Help Improve Wound Care” participation

With your permission, WoundFocus may use your wound images and related measurements to train, test, validate, and improve wound-care models and software. We will not include your name, email address, phone number, or other direct identifiers with the images and measurements used for this development work.

This choice is separate from cloud storage and exporting or sharing a PDF. Participation is optional; declining does not limit your account features. You can view and change your choice in Settings under “Help Improve Wound Care.”

Changing this choice is not the same as deleting your account, wound records, or exported files. For questions about previously contributed information or deletion requests, contact us.

7. Service providers and other disclosures

We may use service providers for hosting, authentication, storage, database operations, security, operational analytics, notifications, and support. These providers may process information as needed to provide services to us.

We may disclose information when required by law or to protect the rights, safety, and integrity of the service. Information you choose to share through an export is described above.

We do not sell your personal wound tracking information or wound photos, and we do not use them for advertising.

8. Device permissions

You can manage permissions in your device settings. Denying or revoking a permission may limit the related feature, and does not automatically remove information previously saved or shared.

9. Security and retention

We use administrative, technical, and physical safeguards designed to protect information. No system can be guaranteed completely secure. Protect your device, app access, account credentials, and exported files.

We keep information for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and support legitimate operational needs. Retention can differ for wound records, support communications, consent records, and operational information.

Deletion or correction options depend on the information, app feature, and applicable law. Signing out and deleting the app are not substitutes for requesting deletion of cloud records. Deleting records in the app does not remove copies you have exported or shared with others.

10. Your choices and privacy requests

You can use available app controls to manage wound records, export a PDF, and update your optional data-use choice. Device settings let you manage app permissions and notifications.

To request access, correction, or deletion of personal information or your account, contact Support in the app or email pjs@aaawound.com. We may need to verify your identity before handling a request. Please do not send wound photos or unnecessary health details in your initial email.

Applicable privacy rights and any exceptions depend on your location and the information involved. Information held independently by a healthcare provider may require a separate request to that provider.

11. Children

WoundFocus Personal is not intended for children under the age required by applicable law to consent to digital services. Do not create an account for a child unless you have the legal authority to do so. Contact us if you believe a child has provided information without appropriate authorization.

12. Important medical limitations

WoundFocus Personal is a documentation tool—not a medical assessment or monitoring service. It does not diagnose wounds, determine whether they are healing safely, or tell you whether medical care is needed. App-assisted measurements are estimates. Saving photos and notes does not mean a healthcare professional is monitoring your wound.

Do not use the app to decide whether to delay or avoid medical care. If you have concerns about your wound, contact a healthcare professional. For urgent or rapidly worsening symptoms, seek in-person medical care or contact local emergency services.

13. Changes and contact

We may update this policy and revise the “Last updated” date. For material changes, we may provide notice in the app or require review of the updated policy.
